Job summary

The receptionists will be responsible for providing reception service including communicating messages to nurses and doctors, other duties of clerical functions involved in the provision of patient care.

Main Duties & Responsibilities:

A) Regular Responsibilities:

A1) Communication:

  • Fast call attendants at the reception and appropriate answers, sending texts if needed.
  • Respond to patient concerns quickly and inform the nurse in order to help the patient.
  • Use your skills when rushing with phone calls.
  • Communicate messages fast and correctly to concerned doctors/nurses in order to help in the maintenance of the smooth organization of patient care.
  • Make sure you use the communication devices properly and only for official purposes.
  • Inform the doctor and team leader/HN of all admissions.
  • Coordinate with cleaners in order to maintain cleanliness and keep the unit safe and sound.
  • Notify any unusual observations to the head of the security department.

A1) Documentation:

  • Update daily census statistics of patients transfer in/ out, new admissions and discharges in computer to connect with the admission office.
  • File accurately all specified reports in patients’ files chronologically, in order to maintain the file update.
  • Update the records of admission, discharges and transfers in the log for ready access.
  • Maintain and update deaths and forward medical records quickly.
  • File out all appointments given to discharge patients in the system.

A3) Nursing Station Management:

  • Keep the nursing operation area clean.
  • Control the rush and keep the nursing station noise-free.
  • Aure all forms/ slips at the nursing station are available to be used by nurses and doctors.
  • Accept the feedback from supervisors and work to improve on the identified areas.

A4) Operational Management:

  • Keep the predetermined levels of stationery safe and replenish stock as necessary.
  • Provide general administrative and clerical supports.
  • Coordinate with the admission department regarding reference/transfer arrangements of patients.
  • Notify the admission office, pharmacy, food services and housekeeping Departments of patient discharges and or, transfers within or outside the unit for necessary arrangements.
  • Direct the patients and visitors properly while answering their queries.
  • Receive newly admitted patients and inform the concerned nurse to escort the patient to his/her room.
  • Label the bed with the patient’s name and MR number and place it at top of the bed for identification for all newly admitted patients.
  • Update online-charging of defined unit-based items such as ECG and oxygen on the computer and make sure its charging.
  • Coordinate with the outpatient receptionist for appointment properly at the time of patient discharge.
  • Enter charges for specified procedures in a computer or for the special procedure.
  • Assemble patient charts as per official standards for concerned doctors/nurses at the time of patient admission and disassemble them on the discharge of patients and file them.
  • Be accessible at the counter all the time.
  • Inform the patient of the patient visiting policy and food policy at the time of the patient’s admission.
  • Keep the patients’ files neat, clean and refilled at all times.
  • Pay due attention to patients’ complaints and provide follow-up to the team leader or head nurse.
  • Update the contact number of patients.
  • Comply with the infection control practices according to FMIC policies, procedures, and protocols.
  • Exhibit positive and supportive attitude towards nurses and seniors’/team leaders.
  • Create a teamwork environment share ideas and solutions to solve problems that will improve teamwork within the department.
  • Update logbooks as assigned.
  • Be regular and punctual on work.
  • Keepsoneself well-dressed and maintains the uniform code and participate in official activities
  • Accept the management decision to work in any of the areas when assigned if needed.
  • Accepts hospitals’ policy in obeying with the specific uniform.
  • Have to be able to discharge duties on public holidays and off days, and perform long duty hours and shift duties including night shifts if required.
  • Be accessible through phone on off-days and leave-days, and discharge duty in case of emergency when called.
  1. B) Periodic Responsibilities:
  • Participate in meetings and educational programs as called.
  • Offer duty in emergency situations.
  • File out and report incidents to the supervisor.
  • Participate in departmental preparation activities for JCIA and ISO audits.
  • Take part in quality circles and projects when assigned by supervisor.

 Job Requirements:

  • At least hold a high school diploma. Bachelor’s degree holders are highly preferred.
  • Applicants with education background are highly preferred
